their clients.
Our services are accessible through:
- Agent Portal - A web-based interface for licensed insurance agents
- Mobile App - iOS and Android applications for insurance clients
This Privacy Policy explains how we collect, use, protect, and share information when you use our
platform.
By using ClientBridge App, you agree to this Privacy Policy.
WHO WE SERVE
Insurance Agents: Licensed professionals who manage client relationships and insurance
portfolios.
Clients: Individuals invited by their insurance agent to stay connected and organized.
1. INFORMATION WE COLLECT
A. Information from Agents
When you register as an insurance agent, we collect:
- Business Information: Name, agency name, National Producer Number (NPN), insurance
license details, business address, phone number, email address
- Account Credentials: Username, password (encrypted), email for account recovery
- Client Information: Contact details of clients you add to the platform (names,
phone numbers, emails, birthdays, policy information)
- CRM Integration Data: When you connect your GoHighLevel (GHL) account via OAuth, we
sync your client contact lists
- Payment Information: Credit card details for subscription fees and platform charges
(processed securely through our payment processor)
- Usage Data: Login times, features accessed, client interactions tracked
B. Information from Clients
When you join through your insurance agent's invitation, we collect:
- Personal Information: Name, phone number, email address, birthday
- Account Credentials: Email/phone for login, password (encrypted)
- Insurance Information: Policy details, carrier names (entered by you or your agent)
- Device Information: Device type, operating system, app version, IP address
- Usage Data: App interactions, feature usage, notification preferences
C. Automatically Collected Information
- Log Data: IP address, browser type, access times, pages viewed
- Cookies: Session management, preferences, analytics (agent portal only)
- Mobile Analytics: Crash reports, performance metrics, feature usage patterns
2. HOW WE USE YOUR INFORMATION
We use collected information to:
- Platform Operations: Create and manage your account, authenticate users, process
payments
- Agent-Client Connection: Match clients with their assigned agent, enable
communication, share policy updates
- Referrals: Process client-to-agent introductions, track referral rewards,
distribute gift cards
- Notifications: Send birthday reminders, policy renewal alerts, platform updates
- Analytics: Understand platform usage, improve features, optimize user experience
- Customer Support: Respond to inquiries, troubleshoot issues, provide technical

3. INFORMATION SHARING AND DISCLOSURE
A. With Your Assigned Insurance Agent
CRITICAL DISCLOSURE: If you are a client using our mobile app, your assigned
insurance agent can see:
- Your profile information (name, contact details, birthday)
- Your policy details and insurance information
- Your app activity (last login, feature usage)
- Referrals you make to other agents
This is the core function of our platform - connecting clients with their agents.
B. With Third-Party Services
- GoHighLevel (GHL): When agents connect their GHL account via OAuth, we sync contact
data between platforms
- Payment Processors: We use secure third-party services to process subscription
payments and gift card distributions
- Cloud Hosting: Our platform is hosted on Railway with PostgreSQL database, secured
with encryption
C. Required by Law
We may disclose information when required by law, court order, government investigation, or to protect
rights and safety.
D. What We DO NOT Do
- We DO NOT sell your personal information to third parties
- We DO NOT share client data with agents other than the one you're assigned to
- We DO NOT use your data for advertising or marketing outside our platform
4. DATA SECURITY
We implement industry-standard security measures:
- Encryption: All data transmitted over HTTPS/TLS, passwords hashed using bcrypt
- Access Controls: Role-based permissions, multi-factor authentication available
- Infrastructure: Secure cloud hosting on Railway, regular security updates, database
backups
- Monitoring: Automated threat detection, audit logging, security incident response

However, no system is 100% secure. While we take reasonable precautions, we cannot guarantee absolute
security.
5. DATA RETENTION
- Active Accounts: We retain your information for as long as your account is active
- Deleted Accounts: Upon deletion request, we remove your data within 30 days, except
where retention is required by law
- Legal Requirements: Some data (e.g., payment records) may be retained longer for
tax, audit, or regulatory purposes
6. YOUR RIGHTS AND CHOICES
You have the following rights:
- Access: Request a copy of your personal data
- Correction: Update or correct inaccurate information in your profile
- Deletion: Request deletion of your account and associated data (contact us via
email)
- Opt-Out: Disable notifications, unsubscribe from emails (settings in-app)
- Data Portability: Request export of your data in machine-readable format

7. CHILDREN'S PRIVACY
Our platform is not intended for individuals under the age of 18. We do not knowingly collect personal
information from minors.
If we discover we have collected data from a minor, we will delete it immediately.
8. CHANGES TO THIS POLICY
We may update this Privacy Policy periodically. When we make significant changes, we will:
- Update the "Last Updated" date at the top of this policy
- Notify users via email or in-app notification
- Post the updated policy on our website and app
Continued use of our platform after changes constitutes acceptance of the updated policy.
